Nationwide service

Transportation of medical equipment, door to door

RapidMed Logistics moves medical equipment for hospitals, imaging centers, surgery centers, labs and clinics on dedicated vehicles, with white-glove handling from pickup to placement. Same-day pickup across VA, MD, DC and NC, next-day across the United States, and international freight when the destination is overseas.

Medical equipment shipping without terminal transfers

Most freight carriers treat a C-arm or an ultrasound cart like any other pallet. It gets consolidated with other shipments, unloaded at a terminal, moved by forklift onto another trailer and handled again before it reaches you. Every one of those touches is a chance for a cracked housing, a knocked-out alignment or a damaged screen.

Our medical equipment transport works differently. Each move is booked on a dedicated vehicle that carries only your load and runs point to point, with the same driver from pickup to delivery. There is no cross-docking, no waiting on a terminal schedule and no stranger's freight stacked against your equipment. That is what makes hot shot service the safer choice for sensitive, high-value medical assets.

How equipment is packed and handled

Before pickup we confirm the make and model, weight and dimensions, and whether the manufacturer has specific packing or securement requirements. Your biomed team or the OEM disconnects the equipment; our crew takes it from there.

  • Blanket-wrapped and stretch-filmed to keep out dust and moisture
  • Strapped at secure points, away from screens, tube heads and cables
  • Kept upright on air-ride, climate-controlled vehicles
  • Loaded and unloaded by liftgate when there is no dock
  • Manufacturer packing requirements followed when provided
  • Same truck and driver from pickup to delivery, no cross-docking

White-glove and inside delivery

Delivery does not stop at the curb. A 2-person or 3-person white-glove crew brings the equipment inside, moves it through corridors and elevators, sets it in the exact room you choose, uncrates it and removes packing debris. We coordinate timing with your biomed team or the manufacturer's installer so the room is ready when the truck arrives.

Liftgate service

Many clinics, practices and office buildings have no loading dock. Our liftgate vehicles lower equipment to ground level at the door, so a dock is never a requirement for pickup or delivery.

Hot shot and expedited options

When equipment is down or an install date cannot slip, hot shot service dispatches a dedicated vehicle as soon as the load is ready. Same-day pickup is available across Virginia, Maryland, Washington, DC and North Carolina from our base in North Chesterfield, VA, with next-day national coverage and after-hours, weekend and holiday dispatch.

For planned work, such as a new imaging room or a department relocation, we schedule the run in advance and can combine several pickups on one dedicated route, which is usually more economical than booking separate shipments. Equipment headed overseas can be prepared for international air and ocean freight with export crating and customs documentation. See our service locations for city-level coverage.

High-value medical equipment transportation, climate-controlled

Imaging systems, lab instruments and surgical equipment are expensive and sensitive, so we move them on air-ride, climate-controlled vehicles that carry only your load. Equipment is blanket-wrapped, strapped at secure points and kept upright, and the same driver stays with it from pickup to delivery.

Health systems with more than one site can use the same service for scheduled transfers between campuses, clinics and storage, with several stops combined on one dedicated route. See hospital equipment removals for department clear-outs and relocations.

Medical equipment shipping by state

Each state page covers the main medical cities we serve, the equipment that moves there and how pickup works: same-day across Virginia, Maryland, Washington, DC and North Carolina, and scheduled dedicated hot shot service elsewhere.

How quotes work

Pricing depends on distance, equipment size and weight, crew size, access at both sites and how quickly the move has to happen. The more detail you send up front, the more accurate the quote, and the less chance of a surprise on moving day.

  1. Send the details

Make and model, weight, dimensions, photos, both ZIP codes and your requested date.

  2. We check access

Docks, door widths, elevators, stairs and on-site contacts at pickup and delivery.

  3. You get a clear price

One quote for the dedicated vehicle, crew size and any white-glove services you need.

Medical equipment transport — FAQs

What kinds of medical equipment do you transport?
We move imaging systems such as C-arms, X-ray, ultrasound, CT and MRI components, plus hospital beds, patient monitors, exam and surgical tables, lab and biotech instruments, dental, pharmacy, rehab and veterinary equipment. If it is used in a hospital, clinic or lab, we can plan a move for it.
How is medical equipment shipping different from regular freight?
Regular LTL freight is consolidated, cross-docked at terminals and handled several times. Our medical equipment shipping runs on a dedicated vehicle that carries only your load, point to point, with the same driver from pickup to delivery and white-glove handling at both ends.
Do you offer liftgate and inside delivery?
Yes. Our vehicles are liftgate-equipped for sites without a loading dock, and 2-person or 3-person white-glove crews provide inside delivery, room placement, uncrating and debris removal.
How fast can you pick up?
Same-day pickup is available across Virginia, Maryland, Washington, DC and North Carolina, with next-day national coverage and international air and ocean freight. Dispatch answers 24/7 at 866-216-7742.
Is high-value medical equipment transportation climate-controlled?
Yes. For high-value medical equipment transportation, our vehicles are air-ride and climate-controlled, and equipment is blanket-wrapped, strapped at secure points and kept upright. Tell us about any manufacturer temperature or shock requirements when you request a quote.
Can you support a hospital system with several sites?
Yes. For multi-site hospitals and health systems we plan scheduled runs that combine several pickups and deliveries on one dedicated vehicle, with the same driver and a single point of contact. Send every address and date with your quote request and we will build the route.
How do I get a quote for medical equipment transport?
Send the equipment make and model, weight, dimensions, photos, pickup and delivery ZIP codes, and your requested date through the quote form, or call dispatch. Access details such as stairs, elevators and dock height help us price the job correctly the first time.

Planning a medical equipment transport

How medical equipment transport works

Medical equipment transport is a planned move rather than a standard freight booking. We start with the equipment list and the two buildings: the make and model, the weight and dimensions, the access path and any receiving rules. That drives the truck size, the crew size and the insurance.

Imaging systems such as CT and MRI are usually planned two to four weeks ahead because of manufacturer scheduling and site preparation. Lab, surgical and general equipment can often move in one to two weeks, and equipment that is down can go hot shot the same day.

On the day, the crew protects the path, secures the equipment for the road and delivers direct. Photos at pickup and delivery and a chain-of-custody manifest record who handled the equipment and when.

Preparing equipment for transport

  • Confirm in writing whether the manufacturer (OEM) or a certified biomedical engineer must de-install and re-install the unit, and book them before the pickup date.
  • Back up data, then remove or wipe protected health information so the move stays HIPAA-compliant.
  • Clean and decontaminate the unit, drain fluids and remove consumables, and keep a record that it was done.
  • Measure doors, hallways, elevators and ramps at both ends, and confirm whether a loading dock or liftgate truck is needed.
  • Secure or remove loose parts, cables and accessories, and label everything so it can be matched to the unit at delivery.

What is included in our transport service

  • Air-ride suspension trucks that cut road shock and vibration for imaging, lab and electronic equipment.
  • Climate-controlled cargo space for heat-, cold- and humidity-sensitive electronics, optics and supplies when you need it.
  • White-glove inside delivery by a trained 2-person or 3-person crew: path protection, placement in the room and removal of packing material.
  • Hot shot and STAT service: a direct, point-to-point run with no terminal transfers when equipment is down and patients are waiting.
  • Photos at pickup and delivery, a bill of lading that lists every piece and a chain-of-custody manifest.
  • A certificate of insurance on request, with the declared value confirmed before pickup rather than after.

Frequently asked questions

What types of medical equipment do you transport?
Imaging systems such as MRI, CT, PET and C-arms, plus ultrasound, patient monitors, hospital beds, lab and biotech equipment, surgical, dental and pharmacy equipment, and more.
How far ahead should I book medical equipment transport?
Plan two to four weeks ahead for large imaging systems because of manufacturer scheduling and site preparation, one to two weeks for lab, surgical and general equipment, and call us right away for hot shot or STAT service when equipment is down.
Is medical equipment transport insured?
Standard carrier liability is often limited by weight, which can be well below the value of a medical system. Ask for a certificate of insurance, declare the real value and confirm the coverage before pickup.
Can you transport equipment internationally?
Yes, national and international white-glove delivery is available. Plan for export paperwork, ISPM-15 heat-treated wood crates where required and customs clearance at both ends.
How do I request a quote for medical equipment transport?
Call 866-216-7742 or use the quote form with your pickup and delivery ZIP codes, equipment make and model, dimensions, weight, photos and requested pickup date.
